The CMMS for professional yachting: standards, traceability, discretion

On a yacht, the owner’s expectations are not open to negotiation. Crew rotations, refit, yard warranties, flag compliance: Smart Sailors records every job, every part and every certificate, then hands over a complete history when the yacht is sold or the management company changes.

Three realities of yachting every captain knows

What the owner expects is not described, it is demonstrated.

The value of a yacht lies in its file

At resale, two identical yachts can differ by several hundred thousand euros, and the gap often comes from the technical file. A complete, timestamped history with invoices and photographs reassures the surveyor and the buyer alike. A vague logbook opens the negotiation downwards instead. Every job recorded today becomes a selling argument tomorrow.

The crew changes, the yacht remains

Crew rotation is the norm in this industry, and an engineer rarely stays beyond two seasons. At every departure the supplier contacts, the yard warranties and the vessel’s technical quirks risk leaving with him. The yacht’s memory has to live in a system rather than in a personal notebook, a point developed in our yacht and superyacht article.

Charter brings pleasure boating into commercial operation

As soon as the yacht is operated commercially, under the French international register or an equivalent flag, it inherits real obligations: class, flag surveys, crew licences and medical fitness, life-saving appliances. Due dates fall in the middle of the charter season if nobody watches them, and one lost charter week costs more than a year of subscription.

An engineer handover with nothing lost

End of season, the engineer signs off after two years on board. This used to be the critical moment: supplier numbers in his phone, generator history in his memory, the yard warranty file in a binder nobody can find. This time the handover takes a morning. His successor opens Smart Sailors and finds every system on board with its history, the parts used, the contacts, the standing instructions and the class due dates for the next eighteen months.

Three weeks later the yacht moves on to its winter yard period. The work list built up through the season, priced and ready to be arbitrated in front of management. The owner takes away one thing: everything works, everything can be demonstrated, and nothing depends on a single person.

Set up between two charters

Existing records imported, quick to learn, a routine that settles without taking the vessel out of service.

Day 1: the yacht is modelled

Machinery, systems, tenders and toys: the inventory is imported from your existing lists, with maker’s plans and class due dates.

Week 1: the crew comes aboard

Captain, engineer and shore management each receive their access and their rights. The app is mastered in a day.

Season 1: the file builds itself

Jobs, warranties and costs per system accumulate. By the first review with the owner, the report is already there.

Yachting frequently asked questions

Is this suited to a single yacht, or only to fleets?

Pricing is per vessel, from €10 a month, and a single yacht has exactly the same modules as a management fleet. A good share of our users operate one unit.

Can the owner or the family office have access?

Yes, read-only or on selected views such as costs, planning or vessel condition. Roles and permissions are finely adjustable, so each person sees what concerns them.

How are yard warranties handled after a refit?

Each item of equipment carries its documents, warranty, invoices and reports, along with its due dates. In a warranty claim the file comes out in minutes, with the maintenance history that demonstrates proper use.

Does a digital history really help at resale?

This is often where the tool pays for itself in one step. A complete, timestamped technical file shortens due diligence, reassures the surveyor and supports the asking price. The full export is handed to the buyer or the new management company.

What if the crew prefers paper?

The app takes less effort than paper: a job is logged in a minute, even offline, and the photo is attached as soon as the network returns. Onboarding training is included in the rollout.
